The Situation

For a busy Portland-area law firm, mobility isn’t optional — it’s how the work gets done. Attorneys move between their office, the courthouse, client sites, and home on a daily basis. At every location, they need access to the same case files, documents, and internal systems.

For years, that meant one thing: connecting to the VPN first. And for years, that friction quietly cost the firm time, focus, and productivity. Attorneys in a hurry — at a courthouse, in a client meeting, trying to pull a document at exactly the wrong moment — found themselves wrestling with a connection process that felt like it was working against them, not for them.

The firm had lived with the problem for several years. It wasn’t a crisis — it was a slow drain. They felt stuck, weren’t sure what options existed, and reached out to ClarionIT to see if anything could be done.

Their attorneys needed to access sensitive client files from anywhere — instantly, securely, without extra steps. VPN was the only option they knew. It wasn’t good enough.

The Challenge

The core tension was a difficult one to resolve: law firms handle some of the most sensitive documents in existence. Client confidentiality isn’t optional, and commercially available cloud storage solutions — however convenient — weren’t an option for this firm’s document management needs. Files had to stay on their internal file server, under their control.

At the same time, requiring attorneys to connect to a traditional VPN every time they needed to access a file created real-world friction that compounded across every workday. Every extra step, every failed connection, every moment spent troubleshooting remote access instead of doing legal work was a small but real cost to the firm’s productivity and to attorney morale.

The solution needed to be simultaneously more secure than cloud storage and more seamless than VPN. That’s a narrow target.

The Solution

After assessing the firm’s environment, ClarionIT identified SMB over QUIC — a relatively new capability introduced in Microsoft Windows Server 2025 — as the right fit for this situation.

SMB over QUIC allows users to map a network drive directly to their internal file server from any location, over the internet, without first connecting to a VPN. The connection is encrypted, authenticated, and seamless — from the user’s perspective, it works exactly like being in the office. From a security perspective, it uses modern TLS 1.3 encryption and certificate-based authentication, meeting the firm’s strict confidentiality requirements.

One additional challenge emerged during implementation: the firm’s internet service provider did not offer a static IP address, which is typically required for this type of external connection. ClarionIT resolved this by deploying a dynamic DNS service that automatically updates the firm’s external hostname whenever their IP address changes — eliminating the dependency on a static IP without any impact on end users.

The entire implementation — assessment, configuration, testing, and rollout — was completed in under one week.

SMB over QUIC delivered what seemed like an impossible combination: the security of staying on-premises with the simplicity of cloud access. No VPN required.

The Results

The impact was immediate and felt across the entire team. Attorneys who had previously avoided accessing files remotely because of the friction now connect routinely from wherever they are — courthouse, home, client site — without a second thought.

Work that previously got deferred until someone was back in the office now gets done in the moment. Documents get pulled, reviewed, and filed without interruption. The firm’s ability to be responsive to clients improved, and the low-grade frustration that had become background noise in the firm’s daily operations simply went away.

Critically, none of this came at the expense of security. Sensitive client documents remain on the firm’s own infrastructure, under their control, with no exposure to third-party cloud storage providers. The solution is more secure than the VPN it replaced and dramatically easier to use.

“I’ve worked with ClarionIT for several years as our trusted technology consultant and business partner. They are exceptionally knowledgeable, highly responsive, and a pleasure to work with. — Managing Partner, Portland-area Law Firm

Why This Matters

This engagement illustrates something ClarionIT believes about good IT work: the best solutions are the ones that disappear. Technology should remove friction from your work, not add to it. When it’s working right, you stop thinking about it.

For this firm, the goal was not ultimately to implement a specific technology — it was to let their attorneys focus on practicing law instead of troubleshooting remote access. SMB over QUIC was simply the right tool for that job. Knowledge of SMB over QUIC required staying current on emerging capabilities that most IT providers wouldn’t have considered for a 10-person firm. That’s the value of a technology partner who treats your business goals as the objective.

5 Signs Your Small Business Has Outgrown Its IT Setup

IT Managed Services - Portland OR - Beaverton OR - IT Support

There’s a version of IT that works fine when you’re a 3-person team sharing a Google Drive folder and a single printer. And then there’s the moment — usually abrupt, sometimes painful — when you realize you’ve outgrown it.

The tricky part is that IT growing pains often feel like employee problems or process problems before they reveal themselves as technology problems. Here are five signs it’s time to take a hard look at your setup.

1. Onboarding a New Employee Takes More Than a Day

If getting a new hire set up with email, file access, the right applications, and a working computer takes multiple days of back-and-forth — that’s a systems problem, not a people problem.

A well-managed IT environment has documented, repeatable onboarding processes: standard device configurations, automated software deployment, and clear access provisioning. If your current process involves someone sitting with IT (or with you) for half a day clicking through installs and resets, there’s significant room for improvement.

Fast, consistent onboarding protects your employee experience and your team’s productivity from day one.

2. You've Had More Than One Unexpected Outage in the Past Year

One outage is bad luck. Two or more suggests you’re running reactive IT rather than proactive IT. Unplanned downtime costs SMBs an average of $8,000–$25,000 per incident when you factor in lost productivity, emergency labor, and potential data recovery.

Proactive managed IT includes 24/7 monitoring that catches disk failures, network issues, and server problems before they become full outages. If your current setup doesn’t include monitoring, you’re flying blind.

3. You're Not Sure Who Has Access to What

This is more common than most business owners want to admit. When a former employee leaves, do you have a checklist of every system they had access to? Email, file shares, QuickBooks, your CRM, your client portal?

Uncontrolled access is one of the most common sources of both security incidents and data leaks. Proper identity management — including offboarding checklists and regular access audits — is a basic element of a mature IT environment.

4. Employees Are Using Personal Devices for Work

BYOD (Bring Your Own Device) can work with the right controls in place. Without them, it’s a compliance and security liability. If employees are accessing company email, files, or systems from personal laptops and phones with no mobile device management (MDM) policy, your business data is sitting outside your control.

This becomes especially critical if you handle sensitive client data, financials, or anything subject to regulatory compliance.

5. You're Making IT Decisions Reactively

You bought that new server because the old one died. You got that firewall because a peer told you to after they got hit. You upgraded to Microsoft 365 when the old email host went down.

Reactive IT is expensive IT. A planned technology roadmap — even a simple 12-month one — helps you budget, avoid crises, and make decisions before you’re under pressure.

The businesses we work with that have the fewest crises aren’t the ones with the biggest budgets. They’re the ones with a plan.

What to Do Next

If two or more of these signs hit close to home, it’s worth having a conversation about where your IT setup actually stands. ClarionIT offers a no-cost technology assessment for Portland-area businesses — we’ll tell you what we find, honestly, with no obligation.
